FreeMind Therapy offers careers within a passionate and diverse team of virtual-only therapists. We are based out of Vancouver, BC and serve many other provinces as well. Our mission is to ensure our clients get the RESULTS they want from therapy, by complementing our foundational practice skills with the latest, most cutting-edge approaches emerging in the mental health industry.
FreeMind Therapy is widely known for our brain-based methods of treatment that help get our clients long-lasting results. Brain-based means any approach that facilitates neural “rewiring”, or addresses the subconscious mind, such as EMDR, Rapid Resolution Therapy, Internal Family Systems (parts work, inner child work), Brainspotting, Clinical Hypnotherapy, AEDP, or Somatic Experiencing, to name a few.
We are thrilled to be able to offer complementary access to several formal training opportunities for our therapists, supporting their continued growth and development in this realm. In addition, we invite you to join in our commitment to supporting Indigenous communities, having offered over 1100 therapy sessions to Indigenous peoples this past year.
All therapists at FreeMind are contractors who offer 15-25 session openings/week & offer a variety of free 20 minute consultations/week.
This provides our clients with a wide selection of session times so they can more easily fit therapy into their busy, on-the-go lifestyles, and select a therapist based on best fit!
Our most successful therapists offer some evening spots or Saturdays when they first start out with us.
Our clients get access to our collaborative team model and receive high value for what they pay for. Our therapists are paid competitively as a result, with opportunities to grow within the company if desired.

What We Require
The basic requirements for working with FreeMind include the following:
- Master’s degree or PhD in counselling psychology, social work, or psychology
- Current registration & in good standing with your professional college (BC or Ontario)
- Current professional insurance, general liability insurance, and cyber insurance
- Business license (sole proprietor or incorporated)
- A clear Criminal Record Check (vulnerable sector), as well as reference checks.
- Experience/training with additional modalities such as EMDR, Somatics, IFS, etc.
Current Career opportunities
REQUIREMENTS:
- Masters Degree
- BC-based Registered Social Worker (RSW), or
- Ontario-based Registered Social Worker (RSW)
- Has at least 5 years experience in roles where counselling was involved (pre and post MSW)
- Has at least 3 years experience in roles where Indigenous people were a part of the clientele you served.
- Trained in an additional modality post-masters, or willing to take a training provided by FreeMind upon joining

Job Summary
The Client Care Coordinator plays a crucial role in administrative operations, ensuring seamless client communication, therapist support, and efficient clinic management. This position requires strong organizational skills, professional communication, and the ability to multitask in a fast-paced virtual environment.
Key Responsibilities:
Client Support & Scheduling
- Respond to client inquiries via phone and email.
- Manage appointment bookings using Jane.app.
- Follow up on new client leads and track inquiries using tracking sheets and an EMR database
- Maintain accurate client records and scheduling details.
Billing & Financial Administration
- Process credit card and third-party payments.
- Track and follow up on outstanding balances and invoices.
- Assist with financial reporting and bookkeeping tasks.
Clinic Operations & Growth Support
- Update policies, manuals, and company procedures.
- Maintain expertise in various technical systems and software
- Maintain therapist directory profiles and update the Google Business Profile.
- Track key performance metrics (client retention, referrals, revenue) using Excel.
- Support content posting for social media and blogs.
Team Support & Coordination
- Assist in onboarding and offboarding therapists.
- Provide basic tech training and administrative support to therapists and admin.
- Attend virtual team meetings, take notes as required, and track action items.
- Create monthly newsletters using Canva.
- Support clinic leadership with administrative tasks.
Required Qualifications & Skills
- Experience: Minimum 2 years in administration (clinic coordination preferred).

The Opportunity
We are seeking an experienced and compassionate Clinical Operations Lead (Clinic Manager) to join our team and play a pivotal role in our growing practice. In this leadership role, you will wear many hats – providing clinical care to clients, supervising and supporting our therapists, and managing the day-to-day operations that keep our virtual clinic running smoothly. You will work hand-in-hand with the Clinic Director on strategic decisions and step in as acting Director when she is away, ensuring continuity of both clinical and administrative functions. This is an opportunity to make a meaningful impact on both client outcomes and clinician development within a rapidly expanding practice. Key Responsibilities
As the Clinical Operations Lead, you will be at the intersection of clinical care and operational leadership. Your responsibilities will include:
Clinical Care (10 clients/week): Provide virtual psychotherapy to approximately 10 clients per week, specializing in trauma recovery, anxiety, and relationship challenges. You’ll utilize advanced modalities (EMDR, IFS, Brainspotting, somatic therapies, etc.) to deliver exceptional care and help clients achieve transformative healing.
Team Supervision & Support: Supervise, mentor, and support our team of therapists (and contracted clinicians). You will foster a positive, growth-oriented environment through case consultation, regular check-ins, and by being an accessible resource for clinical guidance.
Staff Development & Onboarding: Manage staff support systems and performance metrics to ensure our clinicians feel supported and are meeting quality standards. Oversee the onboarding and integration of new team members, helping them acclimate to our culture and clinical approach.
Hiring & Recruitment: Lead the clinician hiring process from start to finish – including identifying staffing needs, conducting interviews, and selecting candidates who align with our values. You’ll also coordinate smooth onboarding and training for new hires to set them up for success.
Operations & Administration: Oversee day-to-day clinic operations such as scheduling workflows, documentation compliance, and efficiency of service delivery. Continuously refine internal processes to improve our remote practice’s efficiency and scalability.
Marketing & Outreach: Take charge of organic marketing initiatives and network-based outreach. This includes nurturing relationships with our established referral partners, expanding our referral network, and finding creative ways to increase the clinic’s visibility in the community (e.g. webinars, partnerships, social media content ideas).
Team Leadership & Meetings: Help lead weekly team meetings (via Google Meet), ensuring they are productive, inclusive, and aligned with clinic goals. You will track clinic-wide goals and key performance indicators, keeping the team focused and motivated.
Strategic Collaboration: Work closely with the Clinic Director on high-level strategy and decision-making. You’ll provide input on clinic growth plans, program development, and operational improvements. Your insights from the front-line will help shape our strategic roadmap.
Acting Director Duties: Step into the Clinic Director’s role when she is away. In these periods, you will captain the ship – handling any urgent clinical consultations, making administrative decisions, and ensuring that both clients and staff continue to be well-supported in her absence.
Qualifications & Requirements
We’re looking for a dynamic leader who blends clinical excellence with operational savvy. The must-haves for this role include:
Clinical Credentials: Registration as a Social Worker in Canada (RSW, MSW) or an equivalent professional designation (e.g. Registered Psychotherapist) with at least 5 years of post-master’s clinical experience. You have a solid foundation in providing therapy and understand the ins and outs of ethical, effective clinical practice.
Advanced Therapeutic Training: Significant training and expertise in trauma-focused and somatic modalities beyond standard talk therapies. (For example: EMDR, Internal Family Systems, Brainspotting, Somatic Experiencing, or other body-based and trauma-informed approaches.) You are committed to ongoing learning and bring a toolkit of advanced skills to your client work.
Leadership & Supervision Experience: Proven experience supervising clinicians or leading a clinical team. You excel at supporting other therapists’ growth, providing constructive feedback, and ensuring high performance and morale. Prior experience as a clinical supervisor, team lead, or clinic manager is highly valued.
Operational Acumen: Strong organizational and administrative skills. You’re comfortable managing schedules, using practice management software, tracking metrics, and streamlining processes to make a clinic run efficiently. Experience with hiring and onboarding staff is a big plus.
Tech-Savvy: High comfort with technology and virtual collaboration. You easily learn new software and effectively use digital tools. (Our team uses Google Workspace/Chat/Meet, an EMR platform, and apps like Voxer for communication.) You can troubleshoot basic tech issues and help others navigate our online systems.
Growth Mindset & Problem-Solving: A creative problem-solver who approaches challenges with a growth mindset. You are detail-oriented and continuously seek to improve both yourself and the clinic operations. Being open to feedback and demonstrating emotional maturity in handling complex situations are essential qualities for success in this role.
Remote Work Setup: A private, reliable home office environment suitable for confidential telehealth and leadership work. This includes a dependable high-speed internet connection, a professional workspace free from distractions, and the ability to maintain client privacy.
Availability: Must be physically located in Canada and available to work during typical Canadian business hours. (Able to align with time zones from Pacific through Eastern. Please note: We are currently unable to accommodate candidates in the Newfoundland time zone due to scheduling constraints.)
